Within classroom.cloud, you can create separate Safeguarding Groups. These allow you to have different configurations for particular devices or users, you can apply different Safeguarding settings, choose who receives email notifications when something is flagged, and create separate groups for staff and student users or devices. You might want to do this for different year groups, enabling or disabling extra phrase matches depending on what is appropriate for each group, or you might have different safeguarding leads for year groups who only need to receive email notifications for their assigned users. This example shows how this works using a student group and a teacher group.
First, to find and add Safeguarding Groups, follow the steps below:
- Log in to the classroom.cloud Web Portal.
- Navigate to Sites > {Your Site} > Safeguarding Groups.
- Click Add safeguarding group.
In this example, we have a security group with all of our Year 7 users, and we want to create a unique Safeguarding Group based on it. Create the Safeguarding Group and give it a relevant name. In this example, the group is named “Year 7”.
Next, you need to add the conditions. There are many conditions available, so it’s worth taking the time to identify those that match your devices or users.
Once you have added the conditions, click Save. An example is shown below:

Now that the group has been created, you will see an Object count next to the settings icon. Each object represents a device or user connected to this group, making it a useful way to check that the conditions you have customised are working.
Note: When setting up a new Safeguarding Group, you may prefer to create and configure the settings within the Safeguarding Group, then match the conditions to apply to a single user or device first. This allows you to review the Safeguarding Group to ensure that it matches your chosen configuration. Once reviewed, you can update the conditions on the Safeguarding Group to apply to all of your chosen devices or users.

Once the Objects number starts to increase, this indicates that devices or users are connecting to the Safeguarding Group.
To change the settings applied to a Safeguarding Group, locate the required Safeguarding Group in the list and click the Settings (cog) icon next to the Object counter. This displays the available settings that you can configure for the Safeguarding Group. For example, you could enable certain phrase matches for students but disable them for staff to prevent unnecessary triggers.
Within the settings, you will see the page below. Any settings you configure here apply only to the connected devices or users. You can set Safeguarding Alerts and configure who receives email notifications when something is flagged, and disable phrase matches completely for specific groups.

For example, you could assign different Safeguarding Users to monitor phrase matches for each year group, so that the Head of Year receives alerts only for the relevant users.

For staff groups, repeat the steps above, changing the conditions to add the groups you want to link and configuring the settings as necessary.
